Turquoise Événements’s 7 Reasons To Hire A Day-Of Wedding Coordinator!
After re-reading my Turquoise Événements’s 7 Reasons To Hire A Wedding Planner blog post, I realized, I should have also written one about only hiring a day-of wedding coordinator, because the two roles are different and the day-of coordinator role has some essential tasks which you want someone to handle for you (trust me).
If you read that post, you know I ended it off with a bonus reason #8, which was in fact an alternative to having a wedding planner: a day-of wedding coordinator (which brings us to this post).
So, what’s the difference between the two roles?
First off, let’s define the two roles.
A Wedding Planner is someone who will be there with you every step of the way, from A to Z. They will help you with all the planning – choosing your venue, sending out your invitations, managing on-going relationships with your vendors for you, etc. – all the way to wedding day-of tasks.
This is where the Day-Of Wedding Coordinator role comes in. If you’re someone who’s very organised, or has always dreamed of organizing their own wedding or you’re having a 50+ person wedding (at anything less, you can probably handle all of this on your own), I highly recommend a day-of wedding coordinator (I had one at my wedding, even though I planned everything myself).
So, why hire a day-of wedding coordinator?
YOU WANT TO FULLY ENJOY YOUR WEDDING DAY
Let’s start with the most important one. Your wedding day is once in a lifetime; you want to be enjoying it and fully embracing it, not working and worrying about all the little details. Trust me, after having lived through the experience this year, you want someone else to be in charge for once. You want to maximize the amount of time you spend with your guests, as some may have traveled quite the distance to share this special day with you (I had friends fly into Montreal from the UK, USA and the rest of the country).
YOU WANT SOMEONE TO MAKE SURE THE SET-UP (& TEAR-DOWN) GO SMOOTHLY
I might be the only one who didn’t initially think of this, but when I first decided to plan my own wedding, it did not occur to me that I’d have to assure a physical presence myself during the set-up, to make sure everything was done properly (in the end, my fiancé did it <3). But, if neither of you want to do this, then having a day-of wedding coordinator is the perfect fix to this! No tables and chairs to move around, no table cloths and dinnerware to lay, no string lights to hang, no bar to set-up, etc… (:
YOU WANT SOMEONE TO RUN THE DAY FOR YOU
This one definitely ties back to the earlier point that you want to be able to fully enjoy your wedding day. In order for that to happen, you need to have someone there who will run the entire day for you, so that you don’t have to do it yourself! A day-of wedding coordinator will make sure that the wedding schedule runs on time (as best as possible), that the pigeons are released from their cage at precisely 17h25, etc. This person will make sure everything on your one and only WEDDING DAY runs smoothly and how you envisioned it to!
YOU WANT SOMEONE TO MANAGE YOUR VENDORS, SUPPLIERS AND DELIVERIES
A wedding can’t happen without the help of numerous vendors and suppliers! From food to decor and DJ to photographer, you’re likely to have at least half a dozen different of these and you’re going to want someone to manage them (again, so you don’t have to do it yourself). Your Day-Of Wedding Coordinator will make sure your vendors and suppliers know where to go when they get on-site and who to go to if they have any questions, where to deliver things, where to set-up, etc.
YOU WANT SOMEONE ELSE TO BE THE POINT OF CONTACT FOR ANY QUESTIONS
So that its not you. Imagine having to deal with things like “where is the soya sauce for the sushi?” or “can I have more chimmichurri for my steak?” or even “I dropped my fork on the floor; can I get another one?”. As legitimate as these questions may (or may not) be, you don’t want to have to be answering them, unless the question is about a life-threatening emergency.
YOU WANT SOMEONE ELSE TO DEAL WITH THE UNEXPECTED
Of course, with all events, there is always the unexpected (trust me). With a wedding planner, you’ll have someone to not just manage the unexpected but also provide a solution. Because one of the main tasks of an event planner, is to be quick on your feet and find the fastest and easiest possible solution to any problem you encounter.
YOU WANT ADDITIONAL PLANNING HELP, ADVICE & SUPPORT
Wedding planning can be ultra stressful at times. A Day-Of Wedding Coordinator may also offer some pre-wedding day help, depending on their services. Perhaps you’re having a really hard time finding a specific caterer who will make all the foods you love, as well as take into consideration people’s allergies and dietary restrictions? Maybe you’ve realized at the last minute that you have a caterer but no waitstaff? Maybe you don’t even know where to begin to find and hire waitstaff? Perhaps your photographer got injured the week before and now you need to find a last minute one? Or, even, maybe the guy you trusted on Kijiji for your dinnerware rentals was a borderline scam and now its 24 hours before D-Day and you have no dinnerware? (true story). If for whatever reason you don’t want to commit to a wedding planner, a day-of wedding coordinator is a nice alternative that can more likely than not help you out with some of these details.
At the end of the day, you want a Day-Of Wedding Coordinator so that you don’t have to do anything (but enjoy the day). That’s all it really comes down to. If you don’t care about that or can’t let go of the reins, then sure, you don’t need one. But trust me, the day goes by so fast; would you rather be spending it with your loved ones or directing an event?
